Service Overview

Member groups let a club create sub-communities inside one membership base — each with its own rules, content, invite codes, and optional admin. Examples: employee benefit group, VIP circle, alumni chapter, or partner organization. Members can belong to one or more groups; group admins manage only their group's pending requests and content without full club panel access.

Enable groups when you need gated benefits, separate onboarding, or delegated community management. The club Overview dashboard shows group-related shortcuts when the option is active.

Core concepts

Member groups

**Menu:** Club Panel → Community → Member groups

Create and manage all groups for your club — membership rules, admins, and invite codes.

Prerequisites

  1. Member groups option active on club subscription.
  2. Club manager or role with groups create/edit permission.
  3. For group admins, corresponding staff user accounts (see Panel Access).

Page layout

  • List of groups: name, member count, pending count, active invite codes, status.
  • New group form: name, description, visibility, approval required (yes/no).
  • Group detail tabs:
    • Settings — name, description, flags.
    • Members — roster, add/remove, export.
    • Pending — approve/reject join requests.
    • Invite codes — generate, expiry, usage limit.
    • Admins — assign group admin staff users.
    • Content — link to group-specific portal sections (if integrated with App Builder).

Step-by-step — create a group

  1. Open Community → Member groups.
  2. Click New group.
  3. Enter name and description members will recognize.
  4. Choose approval required if joins must be reviewed.
  5. Set public visibility if members can discover the group in portal.
  6. Save and open Invite codes.
  7. Generate a code; set optional expiry and max uses.
  8. Share code with the target audience (email, HR, event QR).
  9. Assign a group admin if delegation is needed.
  10. Monitor Pending daily until launch stabilizes.

Step-by-step — approve members

  1. Open group → Pending tab.
  2. Read applicant profile and referral source if shown.
  3. Approve to add to roster or Reject with reason.
  4. Approved members see Group services on portal Home when configured.

Step-by-step — group admin experience

  1. Group admin signs in to Club Panel.
  2. Lands on group dashboard (not full club Overview): pending count, active members, codes.
  3. Can approve/reject pending members for their group only.
  4. Cannot create club-wide customers or edit acceptors.

Best practices

  • One clear purpose per group — avoid overlapping codes.
  • Rotate invite codes after public campaigns.
  • Document which membership level pairs with which group if both apply.
  • Review roster monthly; remove departed employees promptly.

FAQ for club managers

Can one member belong to multiple groups?
Yes, if your club policy allows — each group has separate invite and approval.

Does removing a member from a group delete their club account?
No — only removes group membership; club customer record remains.

Can groups have different membership levels?
Levels are club-wide; groups gate content and services, not usually level pricing — configure both explicitly if needed.
