Service Overview

The events module lets clubs sell tickets, manage venues, run promotions, and check in attendees — concerts, conferences, sports, or internal member gatherings. Club managers configure events in Club Panel; members discover and purchase from the portal Events area and view tickets under My tickets.

Integration with wallet payment and notifications makes end-to-end flow: publish event → member buys ticket → QR check-in at door.

Core concepts

Event management

**Menu:** Club Panel → Community → Events

List, filter, and manage all club events.

Prerequisites

  1. Events option on club subscription.
  2. Wallet or payment method for paid tickets.
  3. Staff role with events create/edit permission.

Page layout

  • Stat cards: upcoming, on sale, sold out, revenue snippet.
  • Table: event name, date, venue, status, tickets sold / capacity.
  • Actions: edit, duplicate, cancel, open check-in.

Step-by-step — daily ops

  1. Open Community → Events each morning.
  2. Review events going on sale today — verify ticket types active.
  3. Open sold-out events for waitlist handling if policy exists.
  4. Day-of-event: open Check-in mode on event row.

Create new event

**Menu:** Club Panel → Events → New event**

Step-by-step

  1. Click New event.
  2. Enter title and rich description members will read on portal.
  3. Upload cover image — 16:9 recommended.
  4. Set start datetime; end optional for multi-day.
  5. Pick venue or add new under Venues sub-menu.
  6. Add at least one ticket type with price and quantity.
  7. Optional: attach seat map and promo codes.
  8. Status Draft until review complete → Published / On sale.
  9. Announce via Notifications with link to event detail.

Types & venues

**Menu:** Club Panel → Events → Venues / Event types**

Venues

  • Name, address, map coordinates, capacity hint.
  • Reuse across events to save data entry.

Event types

  • Labels like Concert, Workshop, Sports — for portal filter.

Step-by-step

  1. Maintain Venues library before busy season.
  2. Assign venue on each event; virtual events use "Online" venue with stream URL in description.

Step-by-step

  1. In event editor, Add ticket type.
  2. Set price and quota independently per tier.
  3. Early bird: set sales end before regular tier opens.
  4. Free RSVP: price 0 — still counts toward capacity.
  5. Save event; test purchase with staff member account.

Seat map

  1. Enable seated mode on event.
  2. Upload or draw section/row/seat grid per venue template.
  3. Assign ticket type to sections or individual seats.
  4. Portal shows seat picker at checkout.
  5. Sold seats lock in real time — refresh if member reports "seat taken".

Promo codes

Step-by-step

  1. Event → Promo codes tab.
  2. New code — uppercase code string, percent or fixed discount.
  3. Set max uses and valid date range.
  4. Share code in campaign; monitor usage count.
  5. Disable code early if leaked publicly.

Check-in

**Menu:** Club Panel → Events → [event] → Check-in**

Step-by-step

  1. Open event on event day → Check-in.
  2. Scan member QR from My tickets in app or portal.
  3. Green confirmation — ticket marked used; prevent re-entry if single-use.
  4. Manual search by name/mobile for broken QR.
  5. Export checked-in list after event for sponsor reports.

Tips

  • Test scanner lighting and camera permission before doors open.
  • Offline mode may be limited — plan backup spreadsheet if venue has poor network.

Browse events

Page layout

  • Upcoming list with filters: date, type, free/paid.
  • Event card: image, title, date, from-price.
  • Detail: description, venue map link, ticket types, buy button.

Step-by-step

  1. Open Events.
  2. Tap event for detail.
  3. Select ticket type and quantity (and seats if mapped).
  4. Apply promo code at checkout if available.
  5. Pay via wallet or allowed method.
  6. Receive confirmation notification.

My tickets

**Menu:** User Portal → Drawer → My tickets**

Page layout

  • Ticket cards: event name, datetime, type, QR code.
  • Status: valid, used, cancelled, refunded.

Step-by-step

  1. Open My tickets before arriving.
  2. Brightness up for QR scan at entrance.
  3. If ticket not listed, check payment in Transactions and contact support with time amount.
  4. Transfer or refund only if club policy allows — usually via support ticket.
