Service Overview

Chat provides member-to-member and group messaging inside the portal and mobile app — contacts sync from phone (with permission), direct chats, groups, and channels. Platform and club panels expose messaging statistics for moderation oversight; members use the Contacts tab for day-to-day communication.

Chat complements Support tickets (formal, staff-mediated) with real-time peer communication for community building.

Core concepts

Messaging statistics

**Menu:** Platform Admin → Operations → Chat statistics

Aggregate metrics — active rooms, message volume, reported abuse flags (if enabled).

Prerequisites

  1. Chat module enabled platform-wide.
  2. Admin view permission — not message content in privacy-preserving setups.

Page layout

  • Cards: daily messages, active users, new rooms, storage usage snippet.
  • Club filter for investigating abuse reports.
  • Links to moderation tools if platform policy includes them.

Step-by-step

  1. Open Chat statistics during incident response.
  2. Filter by club for club-specific spike investigation.
  3. Coordinate with club manager — do not access member DMs without legal process.
  4. Document actions in security log for harassment cases.

Club messaging statistics

Club-scoped usage — helps decide if chat adds value or needs policy update.

Page layout

  • Similar KPIs limited to your club members.
  • Top active groups list (names only, not message text if encrypted).
  • Period selector: 7 / 30 days.

Step-by-step

  1. Review monthly for engagement trends.
  2. If volume near zero, promote chat in App Builder home CTA.
  3. Publish community guidelines in Content module.
  4. Escalate illegal content reports to platform per terms.

Contacts & chat entry

**Menu:** User Portal → Bottom tabs → Contacts**

Main messaging hub — chat list, search, new conversation.

Prerequisites

  1. Member signed in.
  2. Chat option enabled on club.
  3. Mobile: contact permission optional for sync feature.

Page layout

  • Chat list — recent rooms with preview and unread badge.
  • Search — members by name or mobile (privacy rules apply).
  • New chat — direct, group, or join channel.
  • Floating action or top button for compose.

Chat list & search

Step-by-step

  1. Open Contacts tab.
  2. Scroll recent conversations; unread sorted top on some builds.
  3. Use Search to find member by name.
  4. Swipe or long-press for mute/archive if supported.
  5. Pull to refresh if new message not appearing.

Start direct chat

Step-by-step

  1. Tap New message or member profile Message.
  2. Select one member from picker or search mobile (if allowed).
  3. Type first message — room created on send.
  4. Share images/files within size limits.
  5. Block user from profile if harassment — also report to club support.

Groups & channels

Step-by-step — create group

  1. New group — name, optional avatar.
  2. Add members from club directory.
  3. Send first message; you are admin — add/remove members in group info.
  4. Set description and rules in group settings.

Step-by-step — channel

  1. Join public channel from directory if club publishes list.
  2. Read-only for members unless promoted to publisher.
  3. Mute notifications for noisy channels.

Contact sync

**Portal / app → Contacts → Sync contacts**

Step-by-step

  1. Tap Sync contacts first time on mobile.
  2. Grant OS contact permission.
  3. App matches phone numbers to club members — shows On MoonTech badges.
  4. Tap matched member to start direct chat.
  5. Revoke permission in OS settings to stop future sync.

Privacy notes

  • Only members who opted into club appear — not full phone book upload to public.
  • Sync periodic refresh may be manual — tap sync again after adding phone contacts.

Send messages in room

Step-by-step

  1. Open room from list.
  2. Type in composer; send text, emoji, image attachment.
  3. Reply-to or forward if UI supports.
  4. Read receipts may show double check — club policy varies.
  5. Leave group from info screen; direct chat cannot "leave" but can archive.

Moderation guidelines (club managers)

  1. Publish acceptable use policy in Content.
  2. Support tickets for harassment — do not ask members to paste abusive DMs in public channels if encrypted.
  3. Disable chat option only as last resort — affects whole club.

Summary for support

  • Stats panels do not replace legal process for message disclosure.
  • Members: Contacts tab = list, search, compose, sync.
  • Formal disputes still use Support tickets with ticket IDs.
